We do not generally collect sensitive information as defined by the Privacy Act (for example health information, racial or ethnic origin, religious beliefs, sexual orientation). If we ever need to — for example, an accessibility-related medical detail you choose to share to ensure a safe transfer — we will only do so with your express consent (APP 3.3) and only use it for the purpose you provided it.
03 How we collect it
We collect personal information directly from you in most cases, including when you:
- Submit a booking, quote request or contact form on this website
- Phone us, email us, or message us via social media
- Book through one of our partner universities, schools or homestay providers
- Subscribe to our newsletter or marketing communications
- Browse this website (via cookies and analytics tools — see Section 5)
We may also receive your information from a third party who books on your behalf, such as a university intake coordinator, a homestay agency, a cruise line, a tour operator, or a corporate travel manager. Where this happens, we rely on that third party to have obtained your consent to share your information with us.
04 Why we collect it
We collect, use and hold personal information only where it is reasonably necessary for one or more of our business activities (APP 3). Specifically, we use your information to:
- Confirm, deliver and manage your booking
- Communicate with you before, during and after your transfer (including delays)
- Process payments and issue receipts/invoices
- Track flights and adjust pickup times automatically
- Provide GPS tracking links to authorised supervisors (e.g. parents or universities for under-18 student transfers)
- Respond to enquiries, complaints and feedback
- Improve our website, services and customer experience
- Send service updates and — only with your consent — marketing communications
- Meet our legal, regulatory, tax and insurance obligations
05 Cookies & tracking technologies
A cookie is a small text file placed on your device when you visit a website. Cookies help us remember your preferences, understand how visitors use the site, and improve our service. We use:
- Strictly necessary cookies — required for the site to function (e.g. session, security, load balancing).
- Analytics cookies — Google Analytics 4 helps us understand site traffic and usage patterns. Data is aggregated and pseudonymised.
- Marketing & advertising cookies — where applicable, to deliver relevant ads on platforms like Meta or Google.
You can refuse or delete cookies by adjusting your browser settings, or disable advertising cookies through industry opt-out tools (such as Your Online Choices Australia at youronlinechoices.com.au). Disabling cookies may limit some site functionality but will not stop you from making a booking.
06 Who we share it with
We share personal information only where necessary to deliver our service or meet our legal obligations. Recipients may include:
- Drivers and operations staff — to deliver your booked transfer
- Payment processors — to process card payments securely
- Cloud hosting and IT providers — to host this website and our booking system
- Email and SMS providers — to send booking confirmations and delay notifications
- Analytics and advertising providers — Google Analytics, Meta (where applicable)
- University, school and homestay partners — only where you booked through them, and only the information they need to coordinate your arrival
- Insurers, auditors and professional advisers — bound by confidentiality
- Law enforcement, government agencies or courts — where we are legally required to disclose
We do not sell or rent your personal information to third parties for marketing purposes.
07 Overseas disclosures (APP 8)
Some of our service providers — particularly cloud hosting, email delivery, analytics and CRM platforms — store data on servers located outside Australia, typically in the United States, the European Union, Singapore or other countries with mature data-protection regimes. By using our service, you acknowledge that your information may be transferred and stored overseas.
We take reasonable steps to ensure that overseas recipients handle your information in a way consistent with the Australian Privacy Principles, including by selecting providers with strong contractual privacy obligations and recognised security certifications.
08 How we keep your information secure (APP 11)
We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure. These steps include:
- Encryption in transit (HTTPS / TLS) for all website traffic
- Restricted internal access — staff and contractors only access the information they need to do their job
- Secure cloud infrastructure with reputable providers
- Tokenised payment processing (card numbers are not stored on our servers)
- Regular software updates, security reviews and staff training
We retain personal information only for as long as it is needed to deliver our service, comply with legal obligations (e.g. tax records under the Income Tax Assessment Act), or resolve disputes. When information is no longer needed, we securely delete or de-identify it.
09 Data breach notifications
We comply with the Notifiable Data Breaches scheme (Part IIIC of the Privacy Act 1988). If we experience an eligible data breach — meaning a breach involving personal information that is likely to result in serious harm to one or more individuals, and we are unable to prevent that harm — we will:
- Promptly investigate and contain the breach
- Notify the affected individuals as soon as practicable
- Notify the Office of the Australian Information Commissioner (OAIC)
- Provide recommendations on steps you can take to protect yourself
10 Your rights
Under the Australian Privacy Principles, you have the right to:
- Access your personal information we hold about you (APP 12)
- Request correction of information that is inaccurate, out-of-date, incomplete or misleading (APP 13)
- Withdraw consent to marketing communications at any time
- Lodge a complaint if you believe we have mishandled your information (see Section 14)
- Request anonymity or use of a pseudonym where lawful and practicable (APP 2)
To exercise any of these rights, email us at bookings@airportshuttleservices.com.au with the subject line "Privacy request". We will respond within 30 days. There is no charge to make a request, though a reasonable cost-recovery fee may apply for unusually large or complex access requests.
11 Information about under-18s
We provide international student transfers and homestay transfers that may involve passengers under 18. Where this is the case:
- Bookings are typically made by a parent, guardian, university, school or homestay agency, who is responsible for obtaining the under-18's consent (where age-appropriate)
- All drivers transferring under-18 students hold a current Working with Children Check (Blue Card) as required by Queensland law
- We use information about under-18s only to deliver the booked transfer and to communicate with their nominated supervisor
If you are under 18, you should ask a parent or guardian for permission before submitting personal information through this website.
12 Direct marketing (APP 7)
We may, where permitted by law, send you marketing emails or SMS messages about our services, special offers and seasonal promotions. We will only do this where you have given us your consent or would reasonably expect such communications based on the way we collected your information.
Every marketing message includes an unsubscribe link (or "STOP" reply for SMS). You can also email us at bookings@airportshuttleservices.com.au to opt out at any time. We will action opt-out requests within a reasonable time.
13 Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements or for other operational reasons. The current version is always available at this URL. Material changes will be highlighted with a notice on our home page or by email where appropriate.
We recommend reviewing this page periodically. Your continued use of our website or services after a policy update means you accept the updated terms.
